CONSULTATION-TO-CLIENT SNIPPET PACK For use with Typedesk (or any text expansion tool) James | The Automated Solo | theautomatedsolo.com HOW TO USE THIS FILE -------------------- Each snippet below is a ready-to-use email template. In Typedesk, create a new template for each one, assign a short trigger (like :consult-confirm or :retainer-send), and use Typedesk's variable fields to fill in the bracketed placeholders at send time. Variables you will set inside Typedesk for each snippet: {{client_name}} - Client's first name {{date}} - Consultation date (e.g., April 10, 2026) {{time}} - Consultation time with timezone (e.g., 2:00 PM ET) {{meeting_link}} - Your Zoom or Google Meet URL {{fee}} - Consultation fee you charged (e.g., $150) {{practice_area}} - Your practice area (e.g., family law, estate planning) {{your_name}} - Your name {{firm_name}} - Your firm name {{your_email}} - Your direct email address {{retainer_amount}} - Retainer fee (e.g., $2,500) {{matter_type}} - Type of matter (e.g., divorce, will and trust package) --------------------------------------------------------------------- SNIPPET 1: CONSULTATION CONFIRMATION Trigger suggestion: :consult-confirm --------------------------------------------------------------------- Subject: Your Consultation is Confirmed for {{date}} Hi {{client_name}}, You're booked. Here's what to expect before we talk. Your consultation is scheduled for {{date}} at {{time}}. Join here: {{meeting_link}} To make the most of our 30 minutes, please have these three things ready: 1. A one-paragraph summary of your situation. You don't need to write an essay. Just the basic facts and what outcome you're hoping for. 2. Any relevant documents. If you have a court order, a contract, or a prior attorney's letter related to your issue, upload it or have it open on your screen. I can review it faster than you can describe it. 3. Your questions. Write them down before we start. Consultations move fast. The clients who get the most value come with a list. The consultation fee of {{fee}} was charged at booking. That covers 30 minutes of direct legal analysis, not a general Q&A session. See you on {{date}}. {{your_name}} {{firm_name}} {{your_email}} --------------------------------------------------------------------- SNIPPET 2: POST-CONSULTATION FOLLOW-UP (SAME DAY) Trigger suggestion: :consult-followup --------------------------------------------------------------------- Subject: Next Steps After Our Call Today Hi {{client_name}}, Thanks for talking with me earlier today. Based on what you described, I think I can help you with your {{matter_type}} matter. Here is what happens next if you want to move forward. I'm going to send you an engagement letter and a fee agreement within the next few hours. It will come from BunnyDoc, an eSign platform I use instead of DocuSign. You do not need to create an account. You open the email, read the document, and click to sign. It takes about two minutes. The retainer amount is {{retainer_amount}}. Instructions for payment are included in the letter. If you have questions before you sign, reply to this email. I typically respond within a few hours on business days. If I haven't heard back from you in 48 hours, I'll follow up once. After that, I'll assume you've decided to go a different direction, and I'll release the time I've held for your matter. {{your_name}} {{firm_name}} {{your_email}} --------------------------------------------------------------------- SNIPPET 3: RETAINER DELIVERY (BUNNYDOC COVER EMAIL) Trigger suggestion: :retainer-send --------------------------------------------------------------------- Subject: Your Engagement Letter is Ready to Sign Hi {{client_name}}, Attached (via the link below) is your engagement letter for {{matter_type}}. Please read through it carefully. It covers: - The scope of representation - The fee arrangement and retainer amount - How we communicate and what to expect - How to end the representation if needed Once you've signed, I'll receive a notification and we will be formally engaged. I'll then send you a secure intake questionnaire to collect the detailed facts I need to get started on your matter. The retainer of {{retainer_amount}} is due at signing. Payment instructions are on the final page of the document. If anything in the letter looks wrong (incorrect name, wrong matter type, anything at all), do not sign. Reply here and I'll send a corrected version. I appreciate you trusting me with this. {{your_name}} {{firm_name}} {{your_email}} --------------------------------------------------------------------- SNIPPET 4: 48-HOUR RETAINER REMINDER (SOFT FOLLOW-UP) Trigger suggestion: :retainer-remind --------------------------------------------------------------------- Subject: Quick Check-In on Your Engagement Letter Hi {{client_name}}, Just checking in. I sent your engagement letter for {{matter_type}} about 48 hours ago and haven't seen it signed yet. A couple of common reasons this happens: The email landed in spam. Search your inbox for "BunnyDoc" or "{{firm_name}}" and it should surface. You had a question about the letter. Reply here. I'm happy to walk through anything that's unclear. If you've decided to go a different direction, no problem at all. Just let me know so I can release the time I've been holding for your file. The link in the original email is still active if you're ready to sign. {{your_name}} {{firm_name}} --------------------------------------------------------------------- NOTES ON TONE --------------------------------------------------------------------- These templates are intentionally direct. Solo attorneys often over-soften follow-up emails out of fear of seeming pushy. That's a mistake. Clients who are serious about moving forward appreciate clear, professional communication. Clients who are not serious won't be offended by directness. Every template here uses plain text formatting by design. Do not add HTML styling, your firm logo, or social media icons. Plain text emails have significantly higher open and reply rates with legal consumers compared to visually designed newsletter-style emails. Import these into Typedesk, assign your triggers, and you will spend less than two minutes on client communications per new matter from first booking to signed retainer.
